The Institute for Development, Energy, and Environment (IDEA) is a think tank created to address the climate emergency through comprehensive and viable solutions to transform the energy sector in Mexico and the region. Through rigorous technical analysis, the development of innovative strategies, and the generation of accessible knowledge, IDEA promotes the transition toward a sustainable, equitable, and emissions-free energy model. IDEA is structured into various strategic areas that integrate advanced research, policymaking, and innovative proposals in the areas of energy and the environment, working decisively to influence decision-making in the public, private, and social sectors.
IDEA is comprised of a multidisciplinary team of specialized professionals and is currently seeking a person to fill the position of Administrative and Operations Coordinator.
- Job Description
- General objective
The person filling the Administrative and Operations Coordination position will be responsible for supporting the IDEA team in managing the organization's administrative, financial, and operational processes, as well as coordinating events and supporting management with their needs.
- Specific objectives
Administration and Finance
- Manage purchases, quotes and billing.
- Provide support on issues related to contracts and payments to suppliers.
- Supervise office maintenance.
- Support to administrative team.
Processes and Operations
- Monitoring and improvement of internal processes.
- Manage Microsoft 365 tools (SharePoint, Planner, Teams, email).
- Facilitate communication between technical and administrative teams.
Event Coordination
- Plan and coordinate internal and external events.
- Supervise on-site execution and logistics.
- Manage travel expenses (flight, hotel, and reimbursement quotes)
Management Support
- Manage the management agenda.
- Support in the development of proposals.
- Assist in the publication of vacancies and personnel selection.
- Prepare presentations and reports.
- Profile and requirements
- Bachelor's degree in Administration, Finance or related fields
- Experience in administrative areas, preferably in authorized donors.
- Experience in event coordination.
- Advanced Microsoft 365 proficiency, preferably with knowledge of SharePoint, Planner, and Teams.
- Excellent organizational and communication skills.
- Available to work in person at our offices in Colonia del Valle, Mexico City.
